Have you ever wondered what SharePoint Modern is and is it worth (and if so, why) to use it? In this article I will present a short description of Modern Microsoft SharePoint and outline its greatest advantages.
Modern SharePoint, operating in SharePoint Online and Office 365 (as well as soon in SharePoint Server 2019 when it comes to some functionalities), was created in response to the functional problems of its predecessor – SharePoint Classic. What’s more, it was designed with the users of mobile devices in mind, which gave it a significant advantage over the traditional version of the interface. The basic concept of sites, pages, web parts, lists and libraries has remained the same, but the look and feel have been significantly modernized.
The classic SharePoint interface – SharePoint Classic – was introduced in 2002. Since then, Microsoft has been adding new functionalities, which, however, were limited by the capabilities of the classic SharePoint. Customers had the opportunity to adapt the Intranet to their individual needs, however, it was very costly and time-consuming. In 2017, Microsoft met the expectations of users and began to introduce new SharePoint sites – SharePoint Modern – based on the latest technologies. They do not need advanced customization and configuration, and what’s more – they automatically adapt to the mobile view.
Below I present the main advantages of SharePoint Modern, which have the greatest impact on its usability and efficiency:
A nicer look for the pages. Modern websites were created in accordance with the latest trends and modern technologies used to create web pages – the basic mechanism of libraries and versioning remained unchanged. However, the editor for adding content has been improved, which is easier to use and richer with many new components.
Made for mobile devices. SharePoint Classic needed a lot of development work as well as knowledge of SharePoint infrastructure to be fully functional on mobile devices. SharePoint Modern offers full functionality on small screens with no extra effort.
Faster action. In SharePoint Modern, most pages are created in the browser. Many SharePoint elements, including, for example, the SP Framework, are kept out of reach of SharePoint’s servers in the Content Delivery Network. These elements are easy to cache and their speed is similar to the speed of locally installed programs.
Smooth organization. Modern SharePoint uses hubs that connect and organize pages according to specific attributes. Sites connected to a given hub inherit its navigation and layout.
Easier administration. SharePoint Classic administration requires training and appropriate knowledge. For the organization, this means increased costs and time-consuming work. SharePoint Modern is definitely easier to administer.
Improvements to lists and libraries. SharePoint Modern is equipped with such functionalities as easy filtering or conditional formatting, which significantly improve the work of users.
New functionalities and a web party. Some examples below:
- Image gallery: used to share your photo collection on the website,
- Bing maps: thanks to which you can add a map to the website,
- Planner: which allows you to create boards with tasks and track their progress,
- Office 365 Connectors: which collects information from other services, e.g. Jiry or RSS,
- Column Formatter: used to customize fields in lists and SharePoint libraries,
- Group Calendar: which allows you to place the Office 365 calendar on the page so that it is visible to all users.
- Easier setup: Configuration in Modern SharePoint does not require specialist knowledge.
- Improving functionality: Changing the functionality of SharePoint from complicated to more intuitive – SharePoint Classic used functionalities such as Sandbox Solutions. SharePoint Designer, InfoPath, SharePoint Workflows, or Custom Actions. SharePoint Modern, in turn, is equipped with SharePoint Framework, SPFx, PowerApps and Microsoft Flow.
SharePoint Modern can certainly be considered Microsoft’s investment and the future of SharePoint. The flexibility, mobility and intuitiveness of modern websites provide the best ‘user experience’, which in turn translates into the comfort and efficiency of users’ work. Microsoft is constantly introducing new features, so we can expect many interesting solutions in the future. Even if you don’t currently have the modern sites, it’s worth reading them to see where Microsoft is going. It is also worth taking into account that although Microsoft currently maintains both versions, in the future the modern pages may replace their classic version.
